Tympanic Media Studio Policies
1. Session Scheduling & Access
- All sessions are by appointment only. Anyone arriving outside of scheduled times will be considered trespassing and asked to leave.
- Sessions bookings are a minimum of 2 Hours.
- Clients must notify Tympanic at the time of booking who will be in attendance for the session. Guests are welcome, but require prior approval.
2. Deposits & Cancellations
- A 50% deposit is required to secure all bookings.
- Deposits are refundable only if:
- Cancellation occurs more than 5 business days before the session, and
- No rentals or additional crew have been booked on the client’s behalf.
- If rentals or personnel have been hired, the deposit is forfeit regardless of cancellation timing.
- Cancellations within 48 hours of the scheduled start time will be billed in full.
- Travel-based sessions require a non-refundable deposit—no exceptions.
3. Payment Terms
- Full payment is due at time of services rendered.
- For larger projects, milestone-based billing will be negotiated in advance.
- No new work will be performed while a client has outstanding invoices.
- For remote work, full payment is due before project files will be delivered.
4. Session Conduct
- Please arrive on time. Billing for the session begins at the time secured in the booking.
- No smoking is allowed in the studio. Drinks and snacks must be kept away from gear.
- Any damage to equipment caused by negligence will be the responsibility of the client.
5. Intellectual Property & Deliverables
- All mixes remain the intellectual property of the mix engineer.
- Mixes are subject to 4% BMI on publishing, and final masters carry 1% BMI to Tympanic Media, both in addition to the standard hourly rate.
- Upon request, raw multitrack files (with no processing, plugins, or automation) can be prepared and delivered.
- Time spent preparing and exporting sessions is billed at the studio’s mixing rate.
6. Archival & File Storage
- Tympanic Media does not archive client materials.
- Clients are responsible for supplying their own external hard drive if they wish to retain project files.
- Time spent preparing files and transferring to a provided drive (or digital delivery) is billed at the video post-production rate.
- Once the project is delivered, Tympanic is not liable for storing work files, future retrieval, backup, or data loss.
7. Equipment Failures
- Tympanic (and every other studio) relies on equipment and software made by 3rd parties to preform its work.
- We strive to incorporate redundant systems for all critical captures.
- To that end, Tympanic cannot be responsible for data loss due to the malfunction of such equipment or software.
8. Studio Communication
- Tympanic is available by phone during standard business hours: 9:00 AM to 5:00 PM.
- Outside of those hours, please email unless it’s a true emergency—and let’s be honest, in the world of recorded music, very little constitutes an actual emergency.
